1. Your Entry & The Agreement

Once we’ve received your entry and payment, your place is confirmed.
This creates a contract between you (the Participant) and Hellfire Events Ltd (Company No. 14852300).

We do not charge admin fees on original bookings — the price you see is the price you pay.
However, if you need to make changes to your booking (including but not limited to name changes or event transfers), a £10 administration fee will apply.

2. Risk, Responsibility & Participation

You participate at your own risk.

You are responsible for:

  • Ensuring your fitness and physical readiness for the event

  • Carrying any required mandatory kit

  • Acting safely and with respect for yourself and others

Hellfire Events Ltd, its staff, volunteers, and partners accept no liability for injury, loss, or damage resulting from participation.
We strongly encourage all participants to take out appropriate personal insurance.

3. Event Format

Unless otherwise stated:

  • The Kent Backyard Ultra follows the standard Backyard Ultra format:
    4.167-mile loop every hour, on the hour, until only one participant remains.

  • You must complete each loop within 60 minutes to continue.

  • 7 Hour Challenge participants complete a maximum of 7 loops.

4. Medals & Buckles

Participants who complete:

  • 1 yard or more will receive a finisher’s medal

  • 24 yards or more will receive the Kent Backyard Ultra Buckle

These awards must be earned through successful completion during the event.

5. Mandatory Kit Requirements

Where a mandatory kit list is published, it is non-negotiable.

Participants must present the following at registration and carry it at all times during the event:

  • Waterproof jacket with taped seams

  • Headtorch (minimum 300 lumens) plus a spare battery or secondary light source

  • Reusable bottle or cup (no cups provided)

  • Trail shoes suitable for rugged, muddy terrain

  • Sufficient nutrition for your entire race strategy

All equipment must be fit for personal use and in suitable working condition.
Failure to comply will result in refusal to start.

6. Medical & Fitness Declaration

By entering, you confirm that you:

  • Are medically fit to participate

  • Have trained appropriately

  • Will disclose any relevant medical conditions if requested by Hellfire Events Ltd

If unsure about your medical readiness, you must seek professional advice before participating.

7. Cancellations, Transfers & Booking Changes

If you need to cancel, transfer, or amend your booking:

  • Contact info@hellfireevents.com immediately.

  • If you contact us 14 days or more before race day, we will offer options including transferring your entry to another participant or issuing a credit for a future Hellfire event.

  • Changes are subject to a £10 administration fee.

If contact is made within 14 days of the event, options may be limited.
We’ll always take your circumstances into account, but late cancellations may result in no credit being issued due to event operational costs already being committed.

We strongly urge all participants to take out appropriate insurance to cover unexpected changes.

8. Travel Incentive: Go Green

Participants who car share with another runner or arrive by public transport can claim a £10 Hellfire voucher for future Kent Backyard Ultra events.

  • Car sharers: Collect a green card on arrival and hand it in at registration.

  • Public transport users: Show your travel receipt at registration.

9. Photography, Media & Image Rights

By participating, you consent to Hellfire Events Ltd capturing and using event photos, videos, and recordings for promotional purposes.

We are unable to control the distribution of images taken at the event by other participants, spectators, or third parties.
Runners and crew are actively encouraged to share their experiences across social media.

Drone use:
The use of drones is restricted at some venues. If you are planning to operate a drone, you must contact info@hellfireevents.com before race day to obtain written permission.

10. Respect for Land, Course, and Community

Participants agree to:

  • Stay on the marked course

  • Respect landowners, trails, wildlife, and the general public

  • Never drop litter — immediate disqualification for breaches

11. Crew Responsibility

You are responsible for the actions of your crew at all times.

  • If a crew member acts in an unacceptable manner (e.g., disrespect toward volunteers, staff, other participants, or the venue), they will be asked to leave.

  • In serious cases, the runner they are supporting will also be removed from the event.

  • Depending on the circumstances, a runner may also be barred from entering future Hellfire Events.

12. Race Management Authority

Hellfire Events Ltd reserves the right to:

  • Withdraw any participant for safety, operational, or rule breach reasons

  • Enforce time cut-offs or course changes as required

The Race Director’s decision is final.

13. Waiver & Release of Liability

As a condition of participation, you agree to:

  • Accept full responsibility for your participation

  • Waive all claims against Hellfire Events Ltd (Company No. 14852300), its directors, staff, volunteers, and partners

  • Follow all event rules and safety instructions

You must sign the participant waiver before race day.
No waiver = no race.
